Public Sharefolder Outlook Sharing Review

Our Need: We needed to share MS Outlook data that was on one machine with another user on another machine over our internal network. We didn't want to go to the expense of setting up exchange.

We found a tool called Public Sharefolder. It runs on the machine where you have the PST file you want to share. Outlook does not have to be running to access the PST file remotely. The licensing is for the server plus an additional fee for every additional client (after the initial client) You have to hunt around a little to find the price list in US Dollars. It is roughly about $100 per additional client. it takes a day or two for processing before you receive your licensing key. Setup is fairly easy. They have a trial so you can check it our beforehand.

 

Tips.

  • Before you do anything with MS Outlook, you absolutely need to back up your Outlook PST file. That way, you are protected in the event that anything goes wrong. You should also be backing up that file routinely.

  • Don't exit or close the Public Sharefolder app on the machine that is acting as the server. If you do, you close the server. You need to make sure you minimize it.

  • When setting up the access rights for the clients you can check the option "Mouseclick does also change options for subfolders". That will speed things up. Don't forget to save your changes. 

  • NEW - We had to do a repair install of XP on the machine that was acting as the server. After that, the client was getting an 'access denied' message. We found a file on the server machine in the publicsharefolder folder xpsp2fix.exe. We took a chance and ran that. It fixed the problem immediately. Use this at your own risk. You should check with their tech support first.

  • It does not appear that the publicsharefolder client will work with a user running in the XP limited user mode.

Summary

This program did exactly what we needed. For a couple of users it is a lot less expensive than Exchange. For a larger office you might want to go the Exchange route.
